POSITION SUMMARY
The Sierra Club BC is seeking a full-time (37.5 hours/week) Grants Coordinator. The incumbent will have strong research, communication, and project management experience, as well as a solid understanding of granting and proposal development in the non-profit sector. The position will report to the Executive Director, and will receive strategic guidance from the Development Director and the Campaigns Director.
Responsibilities include editing, compiling, submitting, and tracking letters of inquiry, grant proposals, interim and final reports, financial documents, and supportive correspondence to public, private and community charitable foundations, government agencies and other granting bodies; and researching, identifying and developing new prospects and new funding sources in collaboration with management. Additional duties include maintaining organized database systems and working closely with the Finance Department to track status of funding requests and help maintain up-to-date program budgets.
Primary Responsibilities:
- Manage the compiling, submitting, and tracking of all grant proposals and funder reports
- Editing, stylizing, and formatting final grant proposal submissions and follow up documents, including packaging, delivery and tracking
- Assessing grant application questions; determining which components of the proposal need to be addressed by campaign leads or a finance officers, and where appropriate taking a lead in writing general narratives
- Regular data entry in computer system and database to ensure all supporting foundation and donor advised fund data is processed in a timely manner and information is up to date
- Interpreting complex reporting requirements and adhering to strict deadlines; working with finance department to ensure that funders receive accurate financial reports, and working with campaign leads to ensure that grant deliverables are communicated to funders through engaging narrative reports
- Corresponding with funders regarding deadlines, application/report procedures and grant acceptance
- Grant prospecting, including researching and evaluating criteria for potential new sources of funding including foundations and government (federal, provincial, municipal)
- Documenting granting follow-up and fulfilling further information requests from prospect and/or current funders, including reports, media packages or other materials
- Coordinating ongoing stewardship activities for foundation funders, arranging face-to-face meetings and phone calls, attending events
- Cultivating working relationships with peers at funding organizations throughout North America
- Providing monthly grant tracking reports for directors and campaigners; creating quarterly reports for the Development Director
- Working closely with all departments, clearly communicating deadlines and requirements; anticipating extra requirements for specific grant proposals and preparing accordingly
- Corresponding with funders regarding deadlines, application/report procedures and grant acceptance
- Meeting monthly with Executive Director to report on grants; attending weekly staff meetings
- Working with and receiving guidance from Development Director and Campaigns Director to implement and monitor the granting activities as outlined in the Sierra Club BC’s Strategic Plan
QUALIFICATIONS AND EXPERIENCE
- University degree in related field (social sciences, communication, business, etc)
- A passion for and understanding of environmental conservation in BC
- Minimum 3 years related experience in project management or proposal development
- Experience with grant or contract management and administration
- Strong research and analytical skills; ability to interpret and assess large amounts of information
- Well-developed writing, editing, and presentation skills
- Must be exceptionally well organized, able to prioritize tasks and meet deadlines, work independently, take initiative and responsibility for simultaneously moving multiple projects forward to ensure no opportunities or deadlines are missed
- Excellent English language written and verbal communications skills, and excellent people skills
- Able to handle work with minimal supervision and as part of a team
- Strong proficiency in Microsoft Office (specifically Word, Excel, Outlook)
- Experience with SalesForce CRM or similar database programs would be an asset
COMPENSATION
- Current salary range of $21.22-23.47 per hour
- Scheduled annual salary increases plus an annual cost-of-living assessment and wage increase
