Job Description:
Reporting to and working closely with the Manager of Operations, the Office Coordinator will directly contribute to the success of Offsetters by providing excellent customer service over the phone and in person, performing basic bookkeeping, and general office management duties.
The Office Coordinator will demonstrate values of knowledge, integrity and passion, and have an express belief in living a sustainable lifestyle. Responsibilities include but are not limited to:
Providing excellent customer service
• Answers general phone line, directs calls, provides Offsetters information and takes messages in a professional manner.
• Greets office visitors and ensures meetings materials and equipment are prepared.
Performs basic bookkeeping
• Responsible for preparing and sending invoices, tracking A/R and A/P, reporting overdue accounts to Manager of Operations.
• Calculates emissions for partners' monthly/quarterly or yearly offset needs.
Office Management and Administrative Support
• Maintains the general filing system,
• Ensures office equipment and supplies are working and stocked.
• Performs maintenance and content updates on www.offsetters.ca using a simple content management system.
• Coordinates internal and external meetings and takes meeting minutes when required.
• Maintains Offsetters contact database (for monthly e-newsletters and other).
• Conducts sales responses (email and postal mail) for e-commerce purchases.
Minimum Qualifications:
• A bachelor’s degree or equivalent combination of education and experience.
• Minimum two years experience in a similar role, preferably in a start-up organization.
• Demonstrated experience communicating with clients, vendors and the general public in a professional manner.
• Proven experience using accounting software and an understanding of basic accounting principles.
• Track record of working accurately and independently in a dynamic, changing environment.
• Proficient in Microsoft Excel, PowerPoint, and Outlook or other mail client (including mail merges, and other administrative functions).
• Excellent grammar and writing skills

Key Reporting Relationships:
The Office Coordinator reports to the Manager of Operations and works closely with the COO and other team members.
