The Office Manager provides administrative and logistical support for the small number of RSP staff and the wider family of RSP environmental partners' staff. This full time position reports to the Project Director (PD).
Responsibilities
- Managing the RSP office infrastructure, including computing and communications systems, databases and libraries.
- Under direction of the PD and with assistance from the Sage Centre, assist with financial management of RSP, including budget management, financial tracking, reporting, petty cash and expense reports.
- Assist PD with HR administrative work issues (vacation tracking, benefits questions, etc).
- Assist with internal communications among RSP staff, including coordination of conference calls, periodic team meetings.
- Managing travel, event and logistics planning.
- Support communications among environmental partners working with RSP.
- General office reception duties.
- Preparing correspondence and copying, faxing and printing documents.
- Coordinating travel arrangements for staff members engaged in RSP work as required.
- Assist the PD with planning and coordination of monthly Program Managers' meetings.
- Assist RSP staff with specific research tasks.
- Maintenance of office supplies; furniture, computer hardware/software.
- Taking meeting minutes where necessary.
- Various communications tasks: distributing communications materials and reports,directing media enquires to steering committee or PD, fact-checking, editing of RSP communications documents when necessary, responding to or delegating responses to ‘mail@rainforestsolutions.org'.
- Managing RSP conference line, including use by RSP ENGOs.
Qualifications
- Ability to work in a fluid, team-oriented environment with minimal supervision.
- Ability to prioritize tasks in the face of competing priorities and deadlines.
- Ability to take initiative and to innovate (creativity, learns quickly, can think on feet).
- Maturity and ability to make sound judgments.
- Teambuilding skills (engagement with people and issues, enthusiasm, excellent relationship management).
- Ability to work collaboratively with representatives of a wide range of organizations and sectors.
- Communication skills (listening, communicating ideas clearly).
- Competence in working with the MS Office suite and IT trouble-shooting skills.
Education and practical training commensurate with the varied responsibilities and duties outlined above.
Salary: $36,000-$40,000, with a generous vacation plan, professional development support and employee
benefits.
